WeLearn is an edu-tech consulting company founded in 2022. The company equips educational content creators with the tools and skills to design, host, and market their own digital products, from building an audience to turning expertise into a product that sells.

Challenge

A share of the transactions for creators’ courses runs through PayPal. With Salesforce becoming the single place where the company tracks its financial data, those transactions had to land in the CRM directly instead of being exported from PayPal by hand.

As part of the financial tracking implementation in Salesforce, the ENWAY team was tasked with integrating WeLearn’s org with PayPal. We built the Stripe integration for the same project as well, covered in a separate case study.

Solution

ENWAY built an API integration between Salesforce and PayPal, running as a scheduled job that pulls transactions into the org. The main steps included:

  1. A secure connection to the PayPal API, with credentials held in Salesforce rather than in code.
  2. A scheduled job that calls the Transaction Search API every 15 minutes and retrieves the transactions from the last three days.
  3. Batch processing so each run stays within Salesforce’s API and platform limits.
  4. A three-day lookback on every run, well past the three hours PayPal can take to make a transaction available, so nothing is missed at the edge of a period.
  5. Duplicate protection, so the same transaction returning on run after run updates the existing record instead of creating a new one.
  6. Mapping of gross, fee, and net amounts, currency, and creator records, with unmatched transactions flagged for review.
  7. A log of every run, so a failed window can be re-run.

Results

PayPal transactions now load into Salesforce every 15 minutes, as soon as PayPal makes them available, with the gross amount, fee, net amount, currency, and the link to the creator recorded on each one.

Because the data sits in the org’s existing financial objects, it feeds the same reports and dashboards as the rest of WeLearn’s financial data rather than needing its own.

The finance team no longer reconciles PayPal separately or moves its data by hand.
