Challenge

WeLearn’s account management process was fragmented across multiple spreadsheets to track creators and courses. When ENWAY implemented the Salesforce CRM for the company, it became clear that account managers didn’t need full Salesforce functionality — only access to essential information about their assigned creators and the ability to manage expenses.

ENWAY’s challenge was to balance visibility with security, giving account managers the insight they needed without driving up license costs.

Solution

To optimize license use and streamline access, ENWAY designed and built a Salesforce Experience Cloud portal specifically for account managers.

Within this secure web interface, managers can:

  • Log in and view only their assigned accounts with restricted field visibility.
  • Access essential data such as sales performance, financial tracking, and expense records.
  • Edit account details and add new courses directly from the portal.
  • Generate branded PDF reports of transactions instantly from within the interface.

ENWAY also implemented a full expense-management workflow inside the portal:

  • Account managers create expense requests through a custom Lightning Web Component (LWC) form.
  • Each request flows through an approval process where team leads review and update expense statuses.

The result is a tightly integrated extension of Salesforce — giving managers controlled access without the need for additional CRM licenses.
